SellerCraft · templates for wedding planners

The 5 emails wedding planners dread — written word for word, so you can send them tonight.

Final balance overdue. “Can you also…” on the wedding day. A parent is overriding the couple. The couple wants to postpone. The exact emails are below, free. Below that: the rest of the Vault, 12 situations in all, each with the escalation versions it needs.

Who we are: SellerCraft, a small template studio, not a wedding planning firm. The scripts are drafted with AI and edited by hand against advice working planners have published. Not legal advice; check your own contract.

The five emails, in full

Replace the bracketed variables and send. Nothing to download, no sign-up. The first situation comes in two versions so you can see how the escalation works.

Script 1 · version A soft

Final balance overdue: the friendly nudge

  • Send when: the final balance is a few days past due and you have heard nothing.
  • Don't say: "I'm sure it just slipped your mind" or "no rush" (you have already excused it for them).

Variables: [Couple names] [Wedding date] [Amount] [Due date] [Package name] [Reply-by date] [Your name]

UK / AU: "final balance" is often "final payment" or "balance of fees"; use the word your contract uses.

Script 1 · version B firm

Final balance overdue: second notice, with the consequence

  • Send when: a week or more past due, no reply to the nudge, or a promised date came and went.
  • Don't say: "I hate to bring this up again" or "whenever you get a chance".

Variables: [Couple names] [Wedding date] [Amount] [Due date] [Package name] [Clause] [Reply-by date] [Your name]

UK / AU: same note as F1a.

How the ladder works: soft → firm → final

Situations in the Vault that can escalate have a soft and a firm version, and a final one where it makes sense. You send the softest one that fits, and move one rung up only if nothing changes.

Soft

The friendly nudge

Assumes good faith. Names the amount and the due date, offers an easy way to reply. Free, above.

Firm

Second notice, with the consequence

Names what happens if the balance isn't in by a date, and points at the contract clause. Free, above.

Final · in the Vault

Services paused

States what has changed as of today and exactly what restarts the work. Ships with the Vault.

Script 2 soft

"Can you also…" on the wedding day: the yes with a price

  • Send when: the couple asks for something outside the [Package name] in the final days: extra hours, the rehearsal dinner, setting up décor that was a vendor's job. (If a parent asks, route it through the couple first; see F3.)
  • Don't say: "Sure, we'll figure it out" (it becomes free forever) or "that's not my job".

Variables: [Couple names] [Extra request] [Package name] [Amount] [Clause] [Reply-by date] [Your name]

UK / AU: "on the wedding day" is fine everywhere; "add-on rate" often reads as "additional hours rate".

Script 3 soft

The mother of the bride is making decisions the couple didn't make: note to the family member, couple copied

  • Send when: a parent or anyone not on the contract has started sending you instructions that change what the couple approved. Works for any family member; the body never says "mom".
  • Don't say: "I'll need to check with the bride" as if you are going around her, and never "the couple told me to ignore you".

Variables: [Family member name] [Couple names] [Wedding date] [Topic] [Reply-by date] [Your name]

UK / AU: title only; "mother of the bride" is the same everywhere. No wording changes in the body.

Script 4 soft

The couple has gone quiet and a deadline is close: the one-thing nudge

  • Send when: you have asked for a decision (menu, final count, timeline sign-off) twice, the vendor's deadline is inside a week, and you have nothing back.
  • Don't say: "Just checking in!" with no date, or "no worries if you're busy" (you are teaching them the deadline is soft).

Variables: [Couple names] [Wedding date] [Decision needed] [Vendor] [Due date] [Reply-by date] [Your name]

UK / AU: "final count" is usually "final numbers".

Script 5 soft

The couple asks to postpone: the first reply

  • Send when: the couple writes that they need, or want, to move the date, and before you have checked anything.
  • Don't say: "Of course, whatever you need" (you have just waived your contract), and nothing about refunds in the first email.

Variables: [Couple names] [Clause] [Reply-by date] [Your name]

UK / AU: no wording changes.

The Hard Conversations Vault

Want the firm and final versions, and the 7 situations missing from the planner template packs we compared?

The four planner email-template packs we compared stop at “outside the scope” and “late payment.” None of them covers a postponement and what it does to the retainer, a vendor who doesn’t show, a family member steering the couple, a full-refund demand, “this isn’t what I pictured,” day-of add-ons, or a couple swapping a contracted vendor for a friend.

What the Vault adds:

  • The hard situations, the ones you put off answering, written in the same style as the five above.
  • Escalation versions where they apply: soft, firm and final for the situations that can drag on; two versions where a third makes no sense.
  • Decision support: an escalation ladder and a one-page map that tells you which email to send next.

The five free ones are on this page in full so you can judge the writing yourself.

“Not in the 4 packs we compared” means exactly that: we checked four planner email-template packs sold by planner educators and did not find these situations in them. We don’t claim they are sold nowhere.

Plus: the escalation ladder (nudge → firm → final → pause) and the one-page “which email do I send” decision map. Every script uses bracketed variables and pastes into HoneyBook, Dubsado or Aisle Planner canned emails.

Previews

What you get, before you pay

1. The decision map (overview)

Which escalation stages exist for each situation. The full map in the Vault adds the wait windows between stages and what to do when a couple doesn’t reply.

soft   firm   final   not needed for this situation. Situation 2 has notes to the vendor (firm, final) and to the couple (soft); situation 9 is one reply plus a firmer one if they push back.

2. Soft, firm and final, side by side

The overdue-balance emails: two are free above; the third is in the Vault.

Soft

The friendly nudge

Quick note on the final payment for your [Package name]: [Amount] was due on [Due date], and I don't see it on my side yet.

Firm

Second notice

Following up on my earlier note. The final balance of [Amount] for your [Package name] was due on [Due date] and is still outstanding.

Final · in the Vault

Services paused

3. The situation index

The table above, with the versions for each situation and the flagged rows. It is the index of the Vault and prints on one page inside the PDF.

Questions

FAQ

Are these AI-written?

Drafted with AI, then edited by hand against what working planners publish about retainers, postponements, scope and payment. We don’t claim they were tested with real clients.

Who are you?

SellerCraft, a small template studio. We are not planners. That’s why the free ones are on this page in full: judge them yourself.

Which CRM?

Any. Plain text with bracketed variables. Works as HoneyBook, Dubsado or Aisle Planner canned emails.

US vs UK / AU wording?

US spelling, with a note under each script where “retainer” vs “deposit” or “final balance” vs “final payment” differ.

Is this legal advice?

No. Every script says “per our agreement” and points at your contract rather than stating law. Check your contract, or a lawyer, for what applies to you.

When and how do I get it?

By email, within 48 hours of purchase, to the address on your Boosty account. It is not an instant download: we send the files ourselves. You get a PDF, a Google Doc link and a .docx.

What is Boosty?

The checkout platform we use. You create a free account with your email, pay by card, and the files arrive at that email within 48 hours. If anything fails at checkout, write to us and we’ll sort it out.

Refunds?

None on digital files, unless your local consumer law says otherwise. If a file is broken, we replace it.
